HOTEL ROOM RESERVATIONS
The booking process is different this year. Please read the below thoroughly to understand the process.
STEP 1: go to https://forms.gle/JQXXbHrZ8K652xF47 to fill out the reservation form. You will have the opportunity to book a single room or to book multiple rooms if your group would like to be close together.
You will need to include the name and phone number or email address of everyone staying in your room.
The convention rate will be offered November 2 – November 12 if you would like to extend your stay to explore all of the fun things to do in Hershey, make your reservation using the form and enter the convention dates. Then you will call the reservation desk at 855.729.3108 to add your extended dates.
STEP 2: Once you complete the reservation form you will receive an acknowledgement from the hotel via email. THIS IS NOT YOUR CONFIRMATION. The hotel will book your room based on the information provided in the form – then you will receive an email with your confirmation number for your reservation.
STEP 3: Once you receive your confirmation number via email, you must pay one night's room and tax by one of the methods below.
- Credit Card Payments - call the Hershey Lodge Reservation Office at 855.729.3108 to place a credit card on file and to charge a one-night advanced deposit.
- Check Payments - You will send check payments to:

Types of rooms
Double Double or King = $179 + 11% tax ($198.69)

The hotel has a 48-hour cancellation policy. Cancel 48 hours prior to 4pm day of arrival to avoid 1-night charge plus applicable tax.
- A valid credit or debit card will be used at check-in. Please note that a hold will be placed on the card for the full amount of the stay, plus $50 a day for incidentals for the entire stay.
- Guest check-in is at 4:00 PM; however, early arrivals will be accommodated based on availability. Check-out time is 11:00 AM. Requests to retain room beyond that hour should be directed to the Front Desk. Depending on room availability, a late departure charge will apply.
- The hotel is an accessible facility with ADA compliant rooms available upon request.
The reservation deadline is September 17, 2025.
Please note: to help cover the costs of IC&C expenses and meet our contractual obligations, all members of Harmony, Inc. attending the convention are required to stay at the convention hotel or pay the Fair Share Assessment Fee of $198 (the equivalent of one night’s stay at the hotel - including taxes).
